 How We Obtain Personal Information

We obtain the categories of personal information listed above from the following categories of sources:

  • From your activity on our Websites (www.royalmedia.com and our other owned websites): We collect personal information directly and indirectly when you browse our Websites. For example, from submissions through our website portal or website usage details collected automatically.
  • From our clients or their agents:  We collect personal information directly from our clients or their agents. For example, from documents that our clients provide to us related to the services for which they engage us. We also collect personal information indirectly from our clients or their agents in the course of providing services to them.

Should you provide it to us, we may use your e-mail address to send you the following types of e-mail messages:

  • Occasional updates about our products and services, as well as Royal Media marketing offers.

We do not sell your personal information. In the preceding twelve (12) months, we have not sold any personal information.

Lawful Basis for Collection and Processing of Information:

We take your privacy seriously and will only use personal data to provide the products and services you have requested from us. We only collect and process personal information where we have a lawful basis for doing so, such as the following:

User consent – This is where you have given us explicit permission to obtain and process personal information for a given purpose.

Legitimate business purposes – This is where we have a legitimate interest, as a business, to process personal information, such where the user is a client of Royal Media or for the purpose of fraud prevention or ensuring network security. We take due care to balance our interests against your right to privacy.

Contractual necessity – This is where we have to process personal information to meet our contractual obligations. For example, if you are a print subscriber, we would need to process your delivery address to fulfill your subscription.

Legal obligation – This is where we have to process personal information in order to comply with applicable law.

Withdrawal of Consent to Use or Processing of Information:

To the extent that the legal basis for Royal Media’s use or processing of your personal information is consent, you have the right to withdraw that consent at any time by contacting us, as provided below. Withdrawal will not affect the lawfulness of information processing before the withdrawal. You may opt out of receiving promotional communications from us by using the unsubscribe link within each email, updating your email preferences within your account settings menu, or by contacting us as provided below to have your contact information removed from our promotional email list or registration database.

Your Individual Rights and Choices

You may access, verify, update or correct your personal information,  or have any of your personal information deleted as more fully described below. If you created an account on our Websites, you can access and change your online profile. You may also ask us to change your preferences regarding how we use or disclose your information or let us know that you do not wish to receive any further communication from us.

Access to Specific Information and Data Portability Rights. You have the right to request that we disclose certain information to you about our collection and use of your personal information over the past 12 months. Once we receive and confirm your verifiable consumer request, we will disclose to you:

  • The categories of personal information we collected about you.
  • The categories of sources for the personal information we collected about you.
  • Our business or commercial purpose for collecting or selling that personal information.

 Correction Request RightsYou have the right to request that we correct any inaccurate personal information that we collected and retained about you, subject to certain exceptions. You can correct certain information yourself by logging in and updating your online profile. With respect to personal information unavailable for editing within your online profile, once we receive and confirm your verifiable consumer request, we will update (and direct our service providers to update) your personal information within our records, unless an exception applies. We may deny your correction request if we cannot verify your identity, or if we determine, under the totality of the circumstances that the contested personal information in our possession is more likely than not to be accurate.

Deletion Request RightsYou have the right to request that we delete any of your personal information that we collected from you and retained, subject to certain exceptions. Once we receive and confirm your verifiable consumer request, we will delete (and direct our service providers to delete) your personal information from our records, unless an exception applies.

We may deny your deletion request if retaining the information is necessary for us or our service providers to:

  1. Complete the transaction for which we collected the personal information, provide a good or service that you requested, take actions reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform our contract with you.

  4. Exercise free speech, ensure the right of another consumer to exercise their free speech rights, or exercise another right provided for by law.
  5. Engage in public or peer-reviewed scientific, historical, or statistical research in the public interest that adheres to all other applicable ethics and privacy laws, when the information’s deletion may likely render impossible or seriously impair the research’s achievement, if you previously provided informed consent.
  6. Enable solely internal uses that are reasonably aligned with consumer expectations based on your relationship with us.
  7. Comply with a legal obligation.
  8. Make other internal and lawful uses of that information that are compatible with the context in which you provided it.

 

Non-Discrimination.  We will not discriminate against you for exercising any of your rights described in this Privacy Policy. Unless otherwise permitted by applicable law, we will not:

  • Deny you goods or services.
  • Charge you different prices or rates for goods or services, including through granting discounts or other benefits, or imposing penalties.
  • Provide you a different level or quality of goods or services.
  • Suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services.

 How to Exercise Your Rights Described Above

To exercise the access, data portability, correction, deletion, and other rights described in this Privacy Policy, please submit a verifiable consumer request to us by either:

Only you or a person that you authorize to act on your behalf, as evidenced by registration with the Secretary of State in which you reside, may make a verifiable consumer request related to your personal information. You may also make a verifiable consumer request on behalf of your minor child.  You may only make a verifiable consumer request for access or data portability twice within a 12-month period. The verifiable consumer request must:

  • Provide sufficient information that allows us to reasonably verify you are the person about whom we collected personal information or an authorized representative.
  • Describe your request with sufficient detail that allows us to properly understand, evaluate, and respond to it.

We cannot respond to your request or provide you with personal information if we cannot verify your identity or authority to make the request and confirm the personal information relates to you.  We will only use personal information provided in a verifiable consumer request to verify the requestor’s identity or authority to make the request.

Response Timing and Format.

We endeavor to respond to a verifiable consumer request within 45 days of its receipt.  If we require more time (up to 90 days), we will inform you of the reason and extension period in writing.  We will deliver our written response by mail or electronically, at your option.  Any disclosures we provide will only cover the 12-month period preceding the verifiable consumer request’s receipt.  The response we provide will also explain the reasons we cannot comply with a request, if applicable.  For data portability requests, we will select a format to provide your personal information that is readily useable and should allow you to transmit the information from one entity to another entity without hindrance.

We do generally do not charge a fee to respond to your verifiable consumer request.  If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.

Retention of Information:

Royal Media will retain and use your personally identifiable information for as long as needed to provide you with its services, as necessary to comply with our obligations under this Privacy Policy, our Terms of Use and applicable law, resolve disputes, enforce our agreements and for backup purposes. Ads That Link to Our Websites

Royal Media events are produced for a variety of sponsors. All data collected during the registration of such events may be shared with those sponsors.
